2000/11/14 City Council Resolution (7)RESOLU`T'ION NO. 2000- 232 A RESOLUTION OF THE COUNCIL OF THE CITY OF ROHNERT PARK MODIFYING RECORDS RE'T'ENTION /DESTRUCTION MANAGEMENT POLICY PERTAINING TO MAINTAINING Y MEETINGS FOR A LIMITED PERIO D OF TIME NOT TO EXCEED TWELVE (12) MONTHS WHEREAS, the Council of the City of Rohnert Park authorized and approved the California Local Government Records Retention Guidelines as the Records Retention/Destruction Management Policy for the City of Rohnert Park by adoption of Resolution No. 2000 -107 on May 23, 2000; and WHEREAS, the City of Rohnert Park previously decided to video tape meetings of the City Council and other meetings of various City Commissions, Committees and Boards; and WHEREAS, the City has a policy of the formal record for all City meetings being the written minutes of meetings as reviewed and approved during regularly scheduled City meetings; and WHEREAS, state law requires the retention of video recordings for a period of at least ninety (90) days after occurrence of the event recorded thereon when written minutes are the formal record for city meetings (G.C. Section 34090.6); and WHEREAS, the City does use the video tapes of meetings for review of certain items; and WHEREAS, the City desires to maintain the video tapes of meetings for a reasonable amount of time exceeding the ninety (90) days required by state law; and WHEREAS, the City Manager and the City Attorney feel that it is appropriate to maintain the video tapes of City meetings for a limited period of time not to exceed twelve (12) months. NOW, THEREFORE, BE IT RESOLVED by the Council of the City of Rohnert Park that it does hereby modify the City of Rohnert Park Records Retention/Destruction Management Policy adopted by Resolution No. 2000 -107 pertaining to the portion of said policy for maintaining video tapes of City meetings, and does hereby authorize and approve inclusion of a citywide policy for all video taped meetings of the City Council and City Commissions, Committees and Boards to maintain the video tapes of its various meetings for a limited period of time not to exceed twelve (12) months. BE IT FURTHER RESOLVED that the City Manager is hereby directed to implement this adopted policy for all current and /or future video taped meetings of the City Council and City Commissions, Committees and Boards. i,?!
