SUBJECT: AUDIO RECORDING AUTHENTICATION AND CHAIN OF CUSTODY
PURPOSE AND SCOPE: In order to ensure recordings made by Support Services Staff are authenticated
for the courts and to ensure the evidentiary chain of custody is maintained effectively, the following steps
shall be taken when producing an audio recording or CAD printout for the court or public records request.
PROCEDURE:
I. PREPARATION OF AUDIO, VISUAL OR PRINTED MATERIALS
A. Property clerks will email Discovery Requests to the Outlook group Dispatch. Officers
may also submit audio recording requests either by email or interoffice routing.
B. Requests for Audio Recording Copies are to be processed as soon as shift activity allows.
C. Audio recordings will be saved to the S:drive (S:\Technical Services
Division\Dispatch\Voiceprint wav files) and then uploaded to Evidence.com under the
shared Dispatch account.
D. The coinciding CAD Chronology will be printed and stamped with the Authentication
stamp located in the file cabinet.
1. Fill in Case or Event Number, Date/Time, Name (your first initial, last name) and
ID Number.
E. Scan the Chronology to the Discovery Clerks email group and shred the Chronology. If
scanning isn’t available, the Chronology will be routed to Property by hand.
