SOP-11 Vehicle MaintenancePolice Services Division SOP-11 November 1, 2009 SUBJECT: Preventive Maintenance Program/Routine Maintenance Scheduling PURPOSE: To establish a standard procedure for scheduling routine maintenance for City vehicles. Routine maintenance will normally be scheduled by Public Works based on mileage and time, whichever occurs first. Mileage will be approximately every 4000 miles of vehicle use and Time will be averaged for Public Safety Officers and Professional Staff as every six months. Sergeants and Supervisors will be scheduled annually. The maintenance includes, but not limited to, an oil change, fluids and breaks checked, and possibly the tires rotated. 1. Fleet services will contact the employee via email when the service is needed for their assigned vehicle. 2. As soon as practical, the employee will respond back to fleet services via email and establish a mutual acceptable date for the service. The service normally takes approximately 4 hrs. to complete. 3. The employee will insure their vehicle is at the Corp yard at the agreed upon scheduled date and time. 4. Should the driver/operator request routine maintenance the procedure will be to go to your outlook, find fleet services in the contact list, and then send an email requesting a date for your service and list your days off. Public works department personnel will get the email and respond to your request. When possible, you should give at least two week advance notice for your appointment. 5. The above sop is for routine preventive maintenance service and scheduling. Emergency repairs will be handled as directed by your supervisor. DATE ISSUED: January 29, 2010
